Administrative Officer

Job Purpose: 

The Administrative Officer will offer effective and efficient secretarial, clerical, and administrative assistance.

Main Responsibilities : 

  • Offer exceptional administration assistance to the School, ensuring that it runs efficiently and successfully.
  • Answer the phone in a polite, professional, and efficient way – to troubleshoot and fix problems as needed, be proactive in decision making, and provide assistance in resolving concerns.
  • Assist and oversee the planning and implementation of School events, as well as work under the overall supervision of the Operations Manager to support the School’s day-to-day operations.
  • Work as an important member of the School team, be a welcome point of contact for parents and children both in-person and remotely, and contribute to the School’s overall goals.
  • To record and reply to letters received via the School office.
  • To assist with office functions, including general administrative activities as assigned by the Operations Manager.
  • Maintains security by adhering to protocols and regulating access (monitor logbook, issue visitor badges) Maintains supplies inventory by reviewing stock to establish inventory level; predicting required supplies; placing and expediting orders for supplies; and confirming receipt of supplies.
  • Work cooperatively with diverse stakeholders to execute critical tasks and projects.
  • Adhere to all school regulations and procedures.

Specifications for the position:

  • Excellent customer service skills. 
  • Ability to effectively communicate information and ideas in written and verbal formats, as well as build and maintain relationships. 
  • Strong computer abilities with demonstrated competence in Word, Excel, PowerPoint, and other programs.
  • Excellent interpersonal skills with the ability to work successfully with all levels of staff and management. 
  • Compliance with all school policies and procedures.
